Role Overview:
We are seeking a well-versed and experienced IFA administrator to provide first-class support to our financial advisers and clients. The ideal candidate will have a strong, all-round understanding of financial services administration, with the confidence to manage cases across the full client lifecycle – from processing new business through to ongoing servicing and client reviews. Your accuracy, organisation, and ability to communicate clearly and professionally will be central to your success.
This is an in office role, the successful candidate must be able to work from one of our offices, ideally either Liverpool or Southport.
Key Responsibilities:
- New Business Processing: Accurately prepare, process, and submit new business applications across a range of products and wrappers – including pensions, ISAs, investments, bonds, and protection – ensuring each case is completed promptly and correctly.
- Client Servicing & Reviews: Manage the ongoing client servicing cycle, preparing valuations and review packs ahead of adviser meetings and ensuring any resulting actions are completed accurately and on time.
- Provider & Platform Liaison: Liaise with providers and platforms to obtain illustrations, valuations, and policy information, submit letters of authority, and chase outstanding requirements through to completion.
- Client File Management: Maintain accurate, up-to-date, and complete client records on the back-office system, ensuring all files are audit-ready and reflect a high standard of attention to detail at all times.
- Communication & Client Support: Act as a key point of contact for client and provider queries, responding promptly and professionally, while maintaining clear communication with advisers to ensure the efficient completion of tasks.
- Adherence to FCA Consumer Duty Principles: Ensure all administrative work supports good client outcomes in line with the FCA’s Consumer Duty principles, upholding transparency, fairness, and the client’s best interests throughout.
- Compliance & Regulatory Adherence: Ensure all work complies with FCA regulations, internal procedures, and company policies, maintaining a high standard of professionalism in line with industry expectations.
- Collaboration & Support: Work collaboratively with advisers, paraplanners, and the wider team to ensure smooth client service delivery, providing assistance and support as required.
Key Requirements:
Experience & Qualifications:
- Proven, well-rounded experience as an administrator within a UK IFA or wealth management firm.
- Hands-on experience administering a range of products and wrappers, such as pensions, ISAs, investments, bonds, and protection.
- Confident handling both new business processing and the ongoing client servicing and review cycle from end to end.
- Experience working with back-office systems and provider or platform portals.
- No formal qualifications are required for this role; however, a genuine willingness to learn and develop is welcomed, and we are happy to support further study should you wish to pursue it.
- A solid working understanding of FCA regulations, particularly the FCA Consumer Duty principles.

- Exceptional attention to detail and accuracy, ensuring all client work is completed to a high standard and meets regulatory requirements.
- Strong working knowledge of IFA administration processes across pensions, investments, and protection.
- Excellent written and verbal communication skills, with a professional and client-friendly manner.
- Strong organisational skills, with the ability to manage multiple cases and deadlines efficiently.
- Proficient in back-office and financial planning software and the Microsoft Office Suite.
