Title: Policy Administrator
Hours: 35.75 hours per week
Salary: £24,740p/a
Location: Liverpool
HRGO are currently recruiting for a Policy Administrator. This is a key administration role within a Policy Management team, supporting existing corporate clients with amendments and queries. This role is focused on importing validated data, processing application forms, and completing policy migrations and updates.
Responsibilities:
- Process amendments and updates to existing corporate accounts
- Import new policies, leavers and changes electronically
- Handle inbound and outbound emails and calls professionally, efficiently and with a customer-first approach
- Investigate and resolve broker/company queries, liaising with colleagues, managers, sales teams and external contacts as needed
- Validate received data to ensure it is compliant, authorised and in the required format for system import
- Complete bulk data uploads (e.g., expansions and bulk terminations) accurately and to deadlines
- Issue and process payroll deduction and Direct Debit application forms
- Resolve portal queries related to membership data and process changes within agreed timescales
- Process policy downgrades as instructed (e.g., tasks received from Finance)
- Produce reports/spreadsheets (including membership lists) as required
- Maintain clear, accurate and compliant system notes and audit trails
- Complete data protection and security checks before discussing or sharing customer information
- Ensure sensitive information is only shared with authorised contacts and encrypted where required
- Support continuous improvement by engaging with QA feedback, coaching and performance targets
- Undertake other reasonable duties to support team and business needs as required
Key skills and qualifications:
- Strong written and verbal communication skills
- High attention to detail and accuracy when processing data and documentation
- Ability to follow processes and procedures consistently (regulated environment mindset)
- Customer-focused approach with effective problem-solving skills
- Confident using Excel spreadsheets for reporting and data handling
- Experience or understanding of regulated environments (e.g., financial services/insurance)
- Previous experience in policy administration, customer administration, or data processing roles
