Overall Purpose
To provide a first-rate administrative service to clients, colleagues and stakeholders, ensuring work is completed accurately, efficiently and in accordance with Group policies, procedures and regulatory requirements. To act as a professional ambassador for the Group at all times, supporting the delivery of exceptional client service and contributing to the success of the Court of Protection team.
Key Responsibilities:
- Produce accurate, well-presented documents in line with the Group's house style from digital dictation, templates and manuscripts.
- Manage email enquiries and correspondence from clients, professional contacts and third parties in a timely and professional manner.
- Maintain accurate filing and document management systems to ensure information is easily accessible and compliant with firm procedures.
- Assist clients and other contacts by telephone, handling enquiries professionally and taking accurate messages where required.
- Update and maintain departmental databases, spreadsheets and case management systems.
- Process invoices and assist with banking administration, including regular monitoring of deputy account balances and escalating any concerns appropriately.
- Provide administrative support to fee earners and the Head of Department, including preparing documentation, undertaking research and liaising with clients and third parties.
- Arrange meetings, appointments and travel arrangements, ensuring all relevant documentation is prepared in advance.
- Support effective risk management by undertaking administrative checks and maintaining accurate file records.
- Organise departmental meetings, prepare agendas, take minutes and circulate actions where required.
- Manage workloads effectively, raising any concerns regarding priorities or capacity with the appropriate supervisor.
- Provide support and cover for colleagues across the department when required.
- Maintain strict confidentiality and ensure compliance with data protection requirements at all times.
- Continually develop knowledge, skills and understanding of Court of Protection processes and procedures.
- Assist with the day-to-day administration of the office, including handling post, deliveries and other operational tasks where required.
- Utilise the Group's technology and systems effectively and participate in training to support continuous improvement.
- Support business development initiatives by promoting the Group's services and maintaining positive client relationships.
- Assist in the prompt reporting of complaints, claims or potential risks in accordance with firm procedures.
- Ensure compliance with all Group policies, procedures and regulatory requirements, including those of the Solicitors Regulation Authority.
- Previous administrative experience, ideally within a professional services or legal environment.
- Excellent written and verbal communication skills.
- Strong organisational and time management abilities, with the ability to prioritise competing tasks.
- Good working knowledge of Microsoft Office applications and case management systems.
- Fast, accurate typing and document production skills.
- Strong attention to detail and commitment to delivering high-quality work.
- Ability to work independently and as part of a collaborative team.
- Trustworthy, reliable and able to handle confidential information appropriately.
- Professional and client-focused approach with excellent interpersonal skills.
