Teqniq is searching for a Business Support Officer - HR & Wellbeing to work in the public sector.
35 hours per week.
4 week contract.
2 days in the office, 3 days remote - flexible in line with the needs of the service.
Job Description:
To provide high-quality, person-centred administrative and coordination support across the Workforce Wellbeing service to ensure employees can access timely and practical support to resolve wellbeing issues. The role supports the effective delivery of workplace solutions by ensuring clear communication, accurate record-keeping and smooth workflow across People & Organisational Culture teams and external partners to administer processes, and provide a caring, responsive customer experience.
Main Areas of Responsibility:
- Provide person-centred service support, acting as a caring and effective first point of contact for workforce health and wellbeing and health and safety enquiries, ensuring employees, managers and external partners receive timely, clear and supportive information.
- Support coordinated progression of workforce wellbeing cases, including endto-end workplace adjustments and wellbeing interventions, ensuring information flows smoothly between employees, managers, stakeholders and external partners and to ensure each case progresses in a timely manner.
- Record, track and follow up recommendations related to workplace adjustments, ensuring actions are implemented and equipment or services are purchased where required.
- Support operational delivery of both services, including organising wellbeing events, meetings, on-site clinics or health surveillance, training sessions and administering external OH and wellbeing services such as EAP and physiotherapy where required.
- Provide financial and procurement support, including raising purchase and limit orders, processing invoices, tracking expenditure using the authority's financial systems and supporting external SLAs on provision of services to external partners.
- Contribute to continuous improvement, helping refine administrative processes and enhance the overall customer experience across the Workforce Health and Wellbeing, and Health and Safety services These responsibilities reflect the need for a collaborative, solutions-focused and compassionate approach consistent with a proactive support service.
- Being fully accountable for managing the authority's resources well and complying with statutory requirements. This includes managing time, avoiding unnecessary waste, reuse and recycle resources to reduce personal impact.
Person Specification:
- Experience of working in an administrative role in a busy, customer focussed environment.
- Coordinating workflows, tracking actions or support case-related processes whilst maintaining accurate digital and paper records.
- Responding to stakeholder queries via email and telephone with clarity and care.
- Supporting financial or procurement processes, including experience of using financial systems (e.g., raising purchase orders, handling invoices and tracking expenditure).
- Experience of providing administrative support in a Human Resources, Occupational Health or Health and Safety setting.
- Working in an empathetic, person-centred support service, handling confidential and sensitive personal information appropriately.
- Ability to communicate effectively both orally and in writing in a manner, which is clear, fluent, jargon-free and readily understood by colleagues and customers at all levels.
- Good organisational skills with ability to manage time, work to deadlines and prioritise work in an effective and productive manner.
- Able to use own initiative and work with limited supervision actively problem solving and implement solutions in a focussed and positive way while understanding the need to consult with line manager on occasions.
- Ability to identify improvements to processes and systems and to share the recommendations with the wider team.
- Ability to build and develop effective relationships at all levels of the organisation, and with customers and suppliers.
