Northreach is a dynamic recruitment agency that connects businesses with top talent in financial services, fintech, and digital sectors. We specialize in providing a seamless recruitment experience for clients and candidates, fostering innovation and professional growth.

About the Company

We're working with an established specialist financial services business that values its people, takes pride in its workplace culture, and recognises the importance of creating an organised, welcoming and professional office environment.

They're looking for a proactive Office & Facilities Coordinator to take ownership of the day-to-day running of their office, ensuring everything works as it should and colleagues have the equipment, supplies and support they need to do their jobs effectively.

This is an opportunity to join a people-focused organisation where reliability, initiative and attention to detail make a genuine difference. If you're someone who enjoys keeping things organised, solving practical problems and being the person others can depend on, this could be an excellent next step.

About the Opportunity

You'll be the go-to person for office and facilities matters, coordinating suppliers, maintaining equipment records, supporting new starters and ensuring the workplace remains safe, tidy and well equipped.

Working closely with the People & Technology team and colleagues across the business, you'll have a varied role that combines facilities coordination, office administration, supplier management and event support.

There's also scope to broaden your responsibilities over time, gaining exposure to areas such as travel coordination, expenses, invoicing and wider business administration.

Key Responsibilities

  • Coordinate day-to-day office facilities, housekeeping and maintenance to keep the workplace running smoothly.
  • Manage relationships with external suppliers, contractors and building management, ensuring services are delivered effectively.
  • Organise equipment and access requirements for new starters, liaising with IT support to arrange laptops and accessories.
  • Maintain accurate equipment registers and records of laptops and other assets issued to employees.
  • Monitor and order stationery, kitchen, cleaning and general office supplies.
  • Coordinate essential facilities checks and health and safety activities, including fire safety, PAT testing and water assessments.
  • Manage confidential waste collections and ensure sensitive materials are handled securely.
  • Oversee parking permits, space allocation and related queries with the building management team.
  • Welcome deliveries, prepare meeting rooms and coordinate general office requirements.
  • Support internal events, celebrations and team activities, including catering and logistical arrangements.
  • Arrange business travel and accommodation when required.
  • Identify practical improvements to office processes, supplier arrangements and facilities administration.

Essential Experience

  • Previous experience in office management, facilities coordination, office administration or a similar operational support role.
  • Strong organisational skills and the ability to manage competing priorities.
  • Experience coordinating suppliers, contractors, maintenance providers or other external service partners.
  • Confident communication skills, with the ability to build effective relationships across all levels of a business.
  • Good attention to detail and the ability to maintain accurate records and trackers.
  • Working knowledge of Microsoft Word and Excel.
  • A proactive, hands-on approach to resolving day-to-day issues.
  • Ability to handle confidential information and sensitive materials appropriately.
  • A flexible, team-oriented attitude and willingness to support colleagues where needed.

Desirable Experience

  • Experience within financial services, professional services or another regulated business environment.
  • Exposure to health and safety administration or workplace compliance checks.
  • Experience coordinating IT equipment and onboarding arrangements for new employees.
  • Experience booking business travel, accommodation or internal events.
  • Familiarity with purchase orders, invoices, expenses or supplier cost management.
