Northreach is a dynamic recruitment agency that connects businesses with top talent in financial services, fintech, and digital sectors. We specialize in providing a seamless recruitment experience for clients and candidates, fostering innovation and professional growth.

About the Company

We're partnering with an established specialist financial services business in Liverpool that's looking to appoint a proactive and organised Facilities Coordinator to support the smooth running of its office environment.

The business has built a strong reputation within its market and places genuine importance on its people, working environment and company culture.

With a collaborative team, supportive leadership and a focus on employee wellbeing, this is an opportunity to join a business where you'll have real ownership of workplace operations and make a visible difference to colleagues across the organisation.

About the Opportunity

As Facilities Coordinator, you'll take responsibility for ensuring the office is safe, organised, well-maintained and running efficiently.

You'll be the main point of contact for facilities-related matters, managing relationships with suppliers and contractors, coordinating maintenance, supporting health and safety requirements and ensuring the workplace is equipped for day-to-day operations.

Working closely with the People & Technology function, you'll also support new starter arrangements, equipment management and wider office administration.

This is a varied, hands-on role suited to someone who enjoys taking ownership, solving practical problems and ensuring everything behind the scenes runs smoothly.

Key Responsibilities

  • Oversee day-to-day facilities operations, ensuring the office remains safe, organised and well-maintained.
  • Coordinate service and maintenance contracts for building facilities and office equipment, including air conditioning, printers and other essential services.
  • Manage relationships with external suppliers, contractors and building management, ensuring services are delivered effectively.
  • Support workplace health and safety requirements, including fire risk assessments, PAT testing, fire extinguisher checks and water assessments.
  • Coordinate office maintenance requirements, identifying issues and arranging appropriate support or repairs.
  • Manage office supplies, stationery, kitchen essentials and cleaning materials, ensuring stock levels are maintained.
  • Oversee confidential waste collection and secure storage arrangements.
  • Liaise with building management regarding car parking permits, space allocation and related queries.
  • Coordinate equipment and workstation arrangements for new starters, working alongside external IT support.
  • Maintain accurate asset and equipment records, including laptops, accessories and other workplace resources.
  • Manage meeting room bookings, preparation and general workplace requirements.
  • Coordinate deliveries and support day-to-day office housekeeping.
  • Assist with internal events, catering arrangements and other workplace activities.
  • Provide wider administrative support, including travel and accommodation bookings when required.
  • Identify opportunities to improve facilities processes, supplier arrangements and the overall workplace experience.

Essential Experience

  • Previous experience in Facilities Coordination, Office Management, Workplace Operations or a similar role.
  • Experience managing or coordinating external suppliers, contractors, maintenance providers or building management.
  • Strong organisational skills, with the ability to manage multiple tasks, contracts and competing priorities.
  • A practical, hands-on approach to resolving facilities and workplace issues.
  • Excellent communication and relationship management skills.
  • Strong attention to detail and the ability to maintain accurate records.
  • Good working knowledge of Microsoft Word and Excel.
  • Ability to handle confidential information and sensitive workplace matters appropriately.
  • A proactive and adaptable approach, comfortable working independently and supporting colleagues across the business.
  • Willingness to take ownership of day-to-day facilities requirements and contribute to a positive working environment.

Desirable Experience

  • Experience supporting workplace health and safety compliance.
  • Familiarity with building maintenance, facilities servicing and contractor coordination.
  • Experience maintaining equipment or asset registers.
  • Previous responsibility for workplace supplies, facilities budgets or supplier records.
  • Experience coordinating new starter equipment and office arrangements.
  • Exposure to wider business administration, including invoicing, expenses or travel bookings.
  • Previous experience within financial services or professional services.
  • Experience supporting internal events or employee engagement activities.

We're particularly interested in candidates who have taken ownership of practical facilities responsibilities, including supplier relationships, maintenance coordination, workplace safety and office operations.

You don't need to come from a financial services background. What matters most is your ability to keep a professional workplace running smoothly, build positive relationships and take a proactive approach to resolving problems.

If you're an organised, proactive Facilities professional who enjoys taking ownership of workplace operations, managing suppliers and keeping things running smoothly, we'd welcome a confidential conversation.
